Annual registration canvass for businesses

We are currently carrying out our annual voter registration canvass for the City of London Ward Lists.  We sent forms to all businesses and other organisations in the City of London at the end of August and we will be sending out further forms at the end of September to those who have not replied.  If you are not sure if your organisation is registered to vote then you can contact the Electoral Services Office using the following details and we can send the appropriate person in the organisation a form to complete. For further information on registering your organisation to vote please visit www.cityoflondon.gov.uk/cityvote09/, email electoralservices@cityoflondon.gov.uk or phone 0800 587 5537.

Registering to vote

Businesses and other organisations in the City of London are entitled to register people to vote. If you are a sole trader or partnership then all equity partners are entitled to vote. If you are an incorporated or unincorporated body then you can appoint individuals as voters based on the size of your workforce. You can find more information about this in the FAQs section or in the frequently asked questions leaflet.

If you are appointing voters you may find it useful to read our tips for appointment.

We realise that it takes time and effort to complete our forms and so, as a way of saying ‘thank you’, this year we have introduced an incentive scheme which is in three parts:

  • The named contact will be entered into a draw for an invitation to an exclusive reception at Mansion House
  • The names of people registered will be entered into a draw to win one pair of 1000 tickets to the Barbican Cinema

Forms have been sent out to specific contacts in all businesses. If you do not think your business has received a form, please contact us using the details below and we will make sure a form is sent. You can also contact us on these details if you have any other questions or require any assistance.

Tips for appointment

Please note that staff at all levels can be registered to vote. There is a requirement to make sure that, as far as is reasonable, the composition of the workforce is accurately reflected in those appointed to vote.

In order to take up your full entitlement you may find it useful to follow some of the following methods which have been tried and tested by large City organisations:

  • Send an email to all your staff. If you would like a generic email which you can alter as you wish please contact the electoral services office who will be happy to provide you with one.
  • Put up a poster letting people know who to contact if they are interested in being a City voter. You can download a copy of poster from the link below.
  • Use of internal communication mechanisms such as the company intranet or newsletter.
  • Appoint members of existing representative bodies such as employee forums.
  • If you work in a large company it might be a good idea to appoint a certain number from each floor or each department.
